Cancellation Policy

At Space Dental we understand that sometimes unexpected events can occur, and appointments need to be rescheduled or cancelled. We want to ensure that all our patients receive timely and high-quality dental care, which is why we have a cancellation policy in place.

Cancellation Policy Details

Patients must provide at least 48 hours’ notice to cancel or reschedule their appointment. This allows us to schedule other patients who may need care and helps us avoid unnecessary delays.

If a patient fails to provide the required notice or does not show up for their appointment, a cancellation fee of £60.00 per 30-minutes of chair time, may be charged. Appointments that are free to book, such as reviews, are included in this category. This fee is to compensate for the time and resources that were allocated for the appointment and will need to be paid before scheduling another appointment.

Emergency situations that prevent a patient from attending their appointment will be considered on a case-by-case basis.

Patients who repeatedly miss appointments or fail to provide notice of cancellation may be denied future appointments.

Cancellation Policy Communication

Our cancellation policy will be communicated to patients, and reminders will be sent via email, text message or phone call prior to their scheduled appointment. Patients who wish to reschedule or cancel an appointment should contact us as soon as possible by phone, email, or text message.

Treatment Commitment & Cancellation Terms

Once finance has been approved or payment has been made and put in place, this constitutes a formal commitment to proceed with treatment. By signing or accepting your finance agreement and your treatment plan, you are confirming that you wish to go ahead with the treatment plan provided.If you choose to cancel your treatment at any stage after finance has been activated or payment for treatment has been made (this includes part deposits), cancellation fees will apply to cover the costs of services, appointments, and clinical time already used.

These may include (but are not limited to):

Digital scans or impressions – charged at £95 per scan
Consultations, reviews, or hygiene appointments – as per the current price list
Any services, products, or materials that have been prepared, ordered, or provided prior to cancellation
These charges are in place to cover professional time and resources allocated to your treatment.By proceeding with your finance agreement, you acknowledge and agree to these terms.

14-Day Cooling-Off Period Policy

We offer a 14-day cooling-off period to give our customers complete confidence in their purchase. If you are not fully satisfied, you may cancel your order and request a return within 14 days of receiving your product, subject to the terms below.

Eligibility

To qualify for the 14-day cooling-off period:

  • The request must be made within 14 calendar days from the date of delivery.
  • No Dental work has started in this time.
  • We reserve the right to refuse refunds that show excessive wear, deliberate damage, or misuse.

Exclusions

The 14-day cooling-off period does not apply to:

  • Personalised or custom-made items
  • Hygiene-sealed products once opened
  • Items marked as final sale
  • Digital downloads or services already provided
